Frequently Asked Questions
To create a subcontractor invoice, start by opening a new document in processing software like Microsoft Word or by downloading a subcontractor invoice template. Then, add your business details at the top alongside your contact details and a unique invoice number.
Below that, list the services you provided with details like date, description, hours worked, and rate. Calculate the total cost by multiplying the hours by the rate for each service and add any applicable taxes. You can make this whole process fast and easy if you use invoicing tools by FreshBooks instead.
A subcontractor invoice is a billing document created by a subcontractor to request payment for services or work completed. Although it is not a legally binding document, it is a valuable record for both the subcontractor’s and the client’s accounting purposes. Using the subcontractor invoice template by FreshBooks ensures that this record is clear and easy to read.
A subcontractor invoice should include:
- Your business name
- undefinedYour address
- undefinedYour phone number
- undefinedYour email
- undefinedThe client’s name, address, and contact details
- undefinedA unique invoice number and the invoice date for tracking purposes
- undefinedThe services you provided, specifying the date(s), hours, and rate for each
- undefinedTotal costs and any added taxes
- undefinedAny additional notes if needed
- undefinedPayment due date if needed
The subcontractor invoice template by FreshBooks lets you fill in all these details as necessary for each transaction.
A CIS invoice is a specific type of invoice used in the UK construction sector to comply with CIS tax regulations. A CIS subcontractor invoice template should include standard information like subcontractor details, invoice number, and date, along with specific sections for CIS tax deductions. FreshBooks provides such a template and allows these deductions in our invoicing software.
CIS deductions are applied before VAT is added to the invoice. First, you calculate the total cost of the services provided and then apply the CIS deduction to that amount. After that, you add VAT to your net amount. CIS only affects your labour element and has no impact on VAT.
Our subcontractor invoice templates leave room for both CIS and VAT amounts. You can also set up billing in FreshBooks to account for both CIS and VAT to make calculations easier.
To invoice for VAT and CIS, simply add these amounts to your invoice template. You can fill them in on the subcontractor invoice template or add them yourself to your Google Docs, Sheets, or Microsoft Word invoice. This way, your client will be billed for CIS and VAT like any other amount they owe.
